Where the Sri Lanka visa status actually comes from

There are two separate systems holding information about your application, and confusing them is the reason most applicants think their file has "disappeared". Sri Lanka High Commission holds the physical file — it records that your documents and biometrics were accepted, that the pack was couriered to the mission, and later that the passport came back to the centre for collection. Department of Immigration & Emigration holds the decision — it records assessment, any request for further documents, and the final outcome. The tracker you use on this page reports the first system; only Department of Immigration & Emigration can tell you the second.

That is why a status can sit unchanged at "under process" for weeks and still be completely normal. Between despatch and decision the file is with the mission, and the centre has nothing new to publish. Movement resumes only when the decision is taken and the passport is returned. Published assessment time for Sri Lanka is currently 2–10 days, measured from submission — not from the day you booked the appointment.

Third-party status apps and Telegram channels do not receive live data from either system. They scrape the same public tracker you can read yourself, usually on a delay, and several ask for credentials that should never be shared. What you need before checking a Sri Lanka visa status

A status lookup fails far more often because of an input error than because of a system problem. You need the application or reference number issued by Sri Lanka High Commission at submission, plus your passport number. The reference is printed on the acknowledgement slip handed to you at the counter and repeated in the confirmation email — it is not the appointment number and not the fee receipt number, and using either of those returns "no records found" every time.

Enter the reference exactly as printed, including any letters, leading zeros and hyphens, and enter the date of birth in the format the tracker expects rather than the format you are used to. If the tracker still returns nothing within 48 hours of submission, that is normal — records typically appear one to two working days after the file is scanned in.

  4. Act only on the status that requires action

    Only an additional-documents request carries a deadline. Everything else is a waiting state — respond to the request in full, in one submission, before the stated date.

  5. Escalate to the correct party if genuinely delayed

    Reference or courier problems go to Sri Lanka High Commission. Assessment delays go to Department of Immigration & Emigration. One written enquiry, quoting reference, passport number and submission date; keep the ticket ID.

  6. Collect and verify the passport

    Bring the original receipt and photo ID, or the authority letter for a representative. Check name, passport number, validity, entries and duration on the sticker before leaving the counter.

Reading each Sri Lanka visa status message

Trackers use short, unhelpful phrases. In practice they map to a small number of real states, and knowing which one you are in tells you whether to wait or to act. "Application received" means the pack was accepted at the counter and nothing more. "Under process at the mission" means the file is with Department of Immigration & Emigration and no further update is expected until a decision. "Additional documents requested" is the only status that requires urgent action from you — those requests carry a deadline and a missed deadline is treated as a withdrawal in many categories.

"Ready for collection" or "despatched" means the passport has left the mission and is back with the centre or a courier. It is not a decision announcement: an approved and a refused passport travel exactly the same way, and neither the centre nor the courier is told the outcome. You will learn the decision when you open the envelope or, in some categories, from an email issued directly by Department of Immigration & Emigration.

When a Sri Lanka visa status is genuinely stuck

Published time frames are the median case, not a guarantee. Treat a status as genuinely stalled when it has not changed for materially longer than 2–10 days beyond the submission date, when a courier shows no movement for more than a week after despatch, or when the tracker has never recognised your reference more than three working days after submission. Those three situations warrant a written enquiry; anything shorter usually resolves itself.

Raise the enquiry with the right party. Reference recognition and courier problems belong to Sri Lanka High Commission. Assessment delays belong to Department of Immigration & Emigration through its published enquiry channel. Send one written enquiry quoting the reference number, passport number and submission date, and keep the ticket ID — duplicate enquiries reset the queue position at several missions and make things slower, not faster.

If travel is imminent, say so in the enquiry and attach evidence: confirmed tickets, a medical letter, a bereavement notice or a court date. Missions maintain discretionary expedite routes for evidenced urgency. No agent can buy priority, and anyone offering to is not operating inside the official process.

After the decision: collection, courier and reapplying

Passports are either couriered to the address on the application or held for collection at the centre. Collection requires the original acknowledgement receipt and photo ID; an authorised representative additionally needs a signed authority letter and their own ID. Verify every detail in the visa sticker before you leave — name spelling, passport number, validity dates, number of entries and duration of stay. Errors are corrected free of charge if reported promptly, and become your problem at the border if they are not.

If the outcome is a refusal, the letter names the ground. Reapplying without addressing that specific ground almost always produces the same result, because the earlier file remains visible to the assessing officer.
